Terms and Conditions
1. Administration Fee:
UnderOne Diversity and Inclusion Awards reserve the right to charge a 30% administration fee for any tickets/tables reserved on behalf of a shortlisted nominee, which is then cancelled more than 7 days later.
2. Behavioural Standards:
Any individual behaving detrimentally towards other guests at the UnderOne Diversity and Inclusion Awards Ceremony may be:
- Immediately escorted from the venue
- Have their nomination withdrawn
- Be disqualified from future awards
3. Code of Conduct:
Nominees, entrants, and attendees are expected to adhere to a code of conduct that promotes a respectful and inclusive environment. Any violation may result in disqualification or exclusion from the event.
4. Collaboration with Sponsors:
UnderOne Diversity and Inclusion Awards may collaborate with sponsors and partners to enhance the awards experience. Nominees and entrants acknowledge and accept potential collaboration opportunities.
5. Communication Channels:
All official communication regarding nominations, awards, or other related matters will be conducted through the channels specified by UnderOne Diversity and Inclusion Awards. Nominees are responsible for ensuring the accuracy and accessibility of the contact information they provide.
6. Confidentiality:
Information submitted within individual nominations will be reviewed only by:
- The nominee
- The UnderOne Diversity and Inclusion Awards team
- The Judging Panel
7. Contact Information Updates:
Nominees and entrants are responsible for promptly notifying UnderOne Diversity and Inclusion Awards of any changes to their contact information to ensure effective communication throughout the awards process.
8. Disqualification Criteria:
UnderOne Diversity and Inclusion Awards reserves the right to disqualify nominations or revoke awards.
This may occur if:
- Information provided is false or misleading.
- The nominee engages in conduct contradictory to the values and objectives of the awards.
9. Eligibility Confirmation:
By accepting the nomination, you confirm your eligibility to attend the UnderOne Diversity and Inclusion Awards Ceremony.
10. Event Attendance Responsibilities:
Attendees of the UnderOne Diversity and Inclusion Awards Ceremony are responsible for their own travel, accommodation, and other related expenses unless explicitly specified otherwise in writing by the awards organisation.
11. Force Majeure:
UnderOne Diversity and Inclusion Awards is not liable for delays or failure to perform obligations due to circumstances beyond reasonable control, including but not limited to:
- Acts of God
- Natural disasters
- War
- Other unforeseen circumstances
12. Image Consent:
By accepting the nomination and confirming attendance at the ceremony, you irrevocably consent to the use of your image in any marketing material created by UnderOne Diversity and Inclusion Awards.
13. Inclusion Disclaimer:
UnderOne Diversity and Inclusion Awards advocates for inclusivity. The organisation reserves the right to make final determinations on eligibility and make participation decisions to maintain the integrity of the awards process.
14. Information Sharing:
UnderOne Diversity and Inclusion Awards will not disclose information about the nominator without prior permission. Information shared with judges may also be shared with category sponsors and supporting media partners.
15. Intellectual Property Rights:
All intellectual property related to the Awards is owned by UnderOne Diversity and Inclusion Awards. including: Logo, Names and Content. Unauthorised use is strictly prohibited.
16. Judging Process:
The judging process is final and non-negotiable. Decisions are based on the discretion and expertise of the judging panel.
17. Legal Obligations:
Nominees, entrants, and attendees must comply with all applicable laws and regulations. Any legal disputes will be subject to the relevant jurisdiction.
18. Modification or Discontinuation:
UnderOne Diversity and Inclusion Awards reserves the right to modify, temporarily suspend or permanently discontinue the Awards or any feature thereof without prior notice.
19. Nomination Consideration:
All nominations are reviewed with integrity and impartiality. Submissions that do not meet the outlined criteria may not be considered.
20. Nomination Deadline:
Nominations for UnderOne Diversity and Inclusion Awards close on 26th March 2026. Any nominations received after this date will not be considered.
Press Participation:
Entrants may be required to participate in Press, Media, or Promotional activity. Participation will be discussed in advance and is not mandatory unless stated otherwise.
22. Privacy Policy:
UnderOne Diversity and Inclusion Awards complies with GDPR. Our Privacy Policy explains how personal data is collected and managed.
23. Public Votes Liability:
UnderOne Diversity and Inclusion Awards are not liable for public votes submitted for nominees.
24. Withdrawal of Entries
UnderOne Diversity and Inclusion Awards reserves the right to remove entries or remove shortlisted nominees for any reason and without notice. All shortlisted entrants, finalists, and winners will be notified by email.
25. Amendments to Terms and Conditions
UnderOne Diversity and Inclusion Awards reserves the right to amend these Terms and Conditions without prior notice.
